❓Frequently Asked Questions

  • An Apostille is is a special certificate that verifies the authenticity of a public document so it can be legally recognized in another country. It’s required when you're sending U.S. documents to countries that are part of the Hague Apostille Convention. Think of it as a passport for your paperwork.

  • You may need an Apostille if your U.S. documents will be used abroad. Common situations include:

    • Moving to another country – Vital records (birth, marriage, death certificates), court-certified documents (divorce decrees, name change) often require an Apostille for residency or immigration purposes.

    • Conducting international business – Business formation documents, powers of attorney, or contracts may need Apostilles to be recognized overseas.

    • Adopting a child internationally – Adoption records and supporting affidavits usually require Apostilles.

    • Studying or working abroad – Schools and employers may ask for Apostilled diplomas, transcripts, or background checks.

    • Handling legal matters overseas – Wills, powers of attorney, or custody agreements may need Apostilles for use in foreign courts.

    • Buying or selling property in another country – Real estate deeds, agreements, and powers of attorney often need Apostilles.

  • Originals are usually required, especially for vital records. However, notarized copies may be accepted for some documents.

  • Hague Convention countries accept a single apostille certificate to verify your document.

    • If your destination country is a member of the Hague Convention, you only need an apostille—a single certificate issued by your state’s Secretary of State.

    • This apostille confirms the authenticity of your document so it’s legally recognized in other member countries.

Non-Hague countries require a multi-step legalization process involving embassies or consulates. If your document is going to a non-Hague country, the process is more involved:

    • You’ll need document legalization, which includes:

      • Notarization (if applicable)

      • Authentication by the Secretary of State

      • Certification by the U.S. Department of State

      • Final legalization by the foreign embassy or consulate

  • Absolutely. For non-Hague countries, the process is more detailed than the standard apostille procedure. Your documents will require a multi-step authentication and legalization process to be recognized abroad.

    Here’s what that typically includes:

    • The document must first be notarized correctly by a commissioned notary public.

    • Next, it’s authenticated by the California Secretary of State.

    • The document then goes to the U.S. Department of State in Washington, D.C. for federal authentication.

    • Finally, it must be legalized by the embassy or consulate of the country where it will be used.

  • Yes, if you need a U.S. apostille while residing outside the country, you don’t have to travel back to the United States to get it done. You can mail your documents directly to the appropriate Secretary of State’s office or the U.S. Department of State Office of Authentications. For added convenience, many individuals choose to work with a professional apostille facilitator, who can handle the process on your behalf to ensure accuracy and efficiency.

If you’re unsure where to begin or which documents qualify, I can help guide you through each step of the process with clarity and confidence.

  • Yes, as long as the document is properly notarized or certified in English. If your document is in another language, certified translation services are available in 100+ languages to ensure proper submission. Check with your intended recipient in a foreign country as they may require that a certified translation of the document be attached. In some cases, they want the notarized affidavit of translation also to have an apostille. Please check with requesting authority to be sure your documents will be accepted.

  • Yes. We facilitate Apostilles and Authentications from all 50 U.S. states and for federal documents through the U.S. Department of State, depending on the issuing authority.

  • Some documents must be notarized before they can receive an Apostille. Examples include Power of Attorney, affidavits, or letters of authorization. Vital records such as birth or marriage certificates must be certified copies issued by the County Clerk or State Registrar, not notarized copies.
